Using this site
How to use this site
This website was rebuilt during the summer of 2020 to take into account a number of new requirements. One of the most significant was redeveloping the template so that the website could be usefully used on mobile devices. Other areas were the ability to search the text for meetings from May 1st 2018. This page explains how the website is constructed, and how you can use it to find things. In some cases information is present in more than one location.
Abbreviations for Committees and Meetings
In some areas of the site, and in particular catering for mobile users abbreviations have been used for committees and their respective meetings. A list and explanation for each is below.
GC General Council. Meetings where the full council are in attendance. There are three meeting classifications: ACM Annual Council Meeting, CM Full Council Meeting (generally every 2-3 months) and EM Extra-ordinary (or Special) meeting. Visit the General Committee page

General Page Layout
The Home Page
The home page has been constructed as a signposting page. The concept is that you land there and can make a decision based on the options available depending on what specific information you wish to locate. It is deliberately lightweight on information, but has buttons or panels which will take you to 15 different locations in the website.
You can see an example image from the home page with the different signposting options listed below. Click on it to see a larger version.
Active Links & Areas
Any active links on the website whether these are panels, buttons or images will respond if they do something when you place your mouse cursor, or finger on them. Tap or click on them to visit the area they are connected to.
Latest News
At the bottom of the home page is a section which features the lastest news that has been added to the website. The item in the top left is the latest, the one in the bottom right is older. This area is dynamic, and changes everytime someone adds something to the site. You can always look here on each visit to find out the latest information.
Each panel is interactive. If you click on one it will open out into a news article.
General Page Layout
Practically all of the pages in this website have a contents box at the top of the page and a search box. They look similar to the image below.
Content Box
The content box is built automatically for each page. It scans the page looking for headings and lists them with links in them. This will allow you to jump into the content directly without having to search the page.
You need to click on the content box to open it.
In the next example image you can see the Content box opened. It summarises the page in a list of headings for the History page. Each heading listed will jump to that point in the page.
Every page includes a Search the website box. There is also a magnifying glass icon in the menu bar at the top of the website. These do the same thing. You can enter text and search for it in the website. There are some broad tips however on how to use this effectively.
How to Search
If you enter a text string (a sequence of characters) for example: “Chepping Wycombe Parish Council” and request a search, the website will return all of the pages and posts in the website which feature this text. Obviously there will be a lot of them because we are on the Chepping Wycombe Parish Council website. It also returns the results in date order, with the one at the top being the most recently added page or post.
If your search returns too many results try refining it by adding in more detail. You can also go to the specific committee pages and search just within each committee only excluding the other meetings and pages.
Interpreting the results page
When the website returns the search results there will be text and images. It will generally be a series of items getting progressively older, the further you go down the screen. You may see the same summary text reported back. Each search result takes a few words from the result and displays that as a summary. For the various committee pages, this text is likely to the be the same because it will include the address of the parish council. You will need to open the item to search in more detail through the documents attached to the item, or the text itself to locate what you are looking for.
Council Land
There are three council land pages. These contain an interactive google map and text based descriptions of important areas owned or maintained by the parish council. It will appear that the information is duplicated both within the interactive map and on the website.
The map is actually not part of this website, it is located within a Google account. We are looking at that account through a window in the website.
Each area on the map has a pin and an irregular polygon attached to it. Clicking on one of those will reveal more information about the location.
Each area has a description about where the location is, it’s name and some history about it.
Scrolling down the page you will see a detailed summary within the webpage which restates all of the information in one location without the need to navigate through the map. Both have been included for two reasons. One is that we cannot predict which method people will prefer. The second reason is that in order to locate the details about a place if someone carried out a search on the site, they would not find it if the only text was on Google Maps. We have replicated the content in the web page for this reason. If you are looking for an area or location, you will now be able to find the page where it is listed. If it was only on Google Maps, you would not find it on this website.
Committee Pages
It is important to note that there are several ways to view the business of committees. You can either look on the Meetings page for a particular year. Search the site, or open the specific committee page. Treat this page as a container for anything related to this committee.
Search for committee documents
The committee pages show you who is on the committee, the purpose of the committee. There is also a search box which allows you just to search through the documents associated with this committee. A second search box allows you to search the whole site.
Latest Publications
Right at the bottom of the page is an area where the last six documents from this committee can be found. The most recent is either at the top or top left depending what device you are using to the view the page.
To open a publication (generally agenda/ summons or minutes), click on the image, title or read more link. The item will then open up full screen.
Going back through history
All council meetings start with a date. If you know the date of the meeting you can search for it, or locate it on one of the meetings pages which list each committee meeting throughout the year.
If you wish to conduct a search, you can start by looking for dd-mm-yy for example 19-05-20 will list all of the meetings that occurred on that date. This will help you to narrow down searches.
Displaying more than the last six documents
You can navigate back from the last displayed meeting by clicking on the Older Entries link in the bottom of the list of publications. While we show only the last six on these pages, you can go back in blocks of six within these pages to assist you in your search.
Six was chosen as this will generally be three meetings worth of documents. More than this and the page starts to get too long.
Visiting the Committee Pages
You can click on one of the six buttons below and jump to one of the six committee pages listed in this website. Note that not all committees publish their documents on this website. Each of the buttons below will open the page in a new browser window. You can close the window to return to here.
Meetings Pages
If you go to the top level Meetings page you will find that there are 13 buttons (in October 2020). One for each Parish Council year from 2008. If you click on one of the buttons it will take you to the page which lists meetings by date.
The most recent 3 years; 2020/21, 2019/20 and 2018/19 have much greater detail recorded for each meeting. In addition to being able to download the minutes and the summons/ agenda for each, the text from these meetings are recorded in the website, as opposed to being held exclusively within a PDF or MS Word Document. This means you can search the content of meetings at a very fine level from May 2018 onwards using the search tools built into the website.
For meetings prior to May 1st 2018 the meeting details are recorded in PDF format only. You can still reach the documents, but you cannot search the detail within the documents.

One of the design goals of this website is to make as much information possible to mobile users as we can. While the width of a desktop or laptop screen has plenty of space, a tablet and a smart phone does not. For the meetings by year pages the text in the table has been kept to a minimum so that the page will still work on a tablet device. The committee titles have been summarised in a two or three character abbreviation. The page has a key for what these mean at the top, however if you place your cursor over one of the abbreviations a message will pop up to tell you what the abbreviation stands for. The text for the buttons; Minutes and Agenda can also be expanded by placing your cursor over the button. A pop up will appear to give you the committee, date and the type of document.
Meeting Detail Pages (post 1st May 2018)
When you work your way through the site to a specific meeting there is a special format for meetings from 1st of May 2018. These contains some common introductory text and one or more buttons. For each meeting there are at least two pages. One for the agenda and summons, the second one for the minutes. The agenda and summons page, and the minutes page may have additional documents listed if these were important at the time.
Clicking on a button will open the document up in a PDF reader so you can read it online, or download it.
Near the bottom of the page is grey box called Search Terms. This box is not really of interest to anyone, it is used by the website and contains a text version of the main document on the page. This is how it is possible to search meeting details down to a fine level.
If you click on the image in this section you can visit an example meeting page. In this case it displays a General Council Meeting agenda and summons with some additional reports. The page will open in a new window. Close it to return to here.
Announcements Page
The Announcements page is another way of viewing the work of the Parish Council. This page lists everything that has been produced by the council in terms of meetings, minutes and agendas. It is displayed with the most recent items at the top or top left of the page, with older information further down the page.
There is no filtering on this page it will show everything that has been published, not necessarily just meeting agenda’s and minute’s. It will contain other notices as well.
