AGENDA
1. Apologies for absence
Schedule 12 of the Local Government Act 1972 requires members who cannot attend a meeting to tender apologies to the Clerk.
2. Declarations of members’ interests in items on the agenda
To receive any pecuniary or non-pecuniary declarations of interest and confirmation of any relevant dispensations.
i) Under the Localism Act 2011 (sections 26-37 and Schedule 4) and in accordance with the Council’s Code of Conduct, Members are required to declare any interests which are not currently entered in the Member’s Register of Interests or if he/she has not notified the Monitoring Officer (Clerk) of it.
ii) Should any Member have a Disclosable Pecuniary Interest in an item on the agenda, the Member may not participate in consideration of that item unless a Dispensation has first been requested (in writing) and granted by the Council.

AGENDA ITEM 3
Delegated Action
Members are asked to NOTE the following designated action by the Chairman of committee and the clerk since the last committee meeting in January:
• 2 x Eastgate Anti Vandal benches @ £618 each were purchased for Altona Road Cemetery.
AGENDA ITEM 4
Offices, depot and warden’s house
Members are asked to NOTE that the Grounds Team would like a lean-to attached to the depot at the bottom of the yard. Details are to be brought to the next meeting.

Cemeteries
Members are asked to NOTE that the deputy clerk has started to photograph the memorials in Cock Lane Cemetery and upload the photographs to the Find a Grave website.
AGENDA ITEM 6
War Memorials
Flackwell Heath
Members are asked to NOTE that our Grounds Team will clean the base of the plinth and the stone slabs before a decision is made as to whether further specialist cleaning is necessary.
Loudwater
Members are asked to NOTE that we have received the reports of the relevant services from the LAT and we are now awaiting a date from a contractor to meet on site to discuss the works.

BT cabinets
Members are asked to NOTE that the deputy clerk has established that 6 of the 9 cabinets in Tylers Green need painting and has contacted Openreach to request that they are painted. To date, 1 has been done.

FH Street Litter Bins
Members are asked to NOTE that the replacement of the litter bins has been delayed but we expect it to be completed by the end of March.

Vehicles
Members are asked to NOTE that the Grounds Team will be going with the clerk to test a new Isuzu 4×4 vehicle with the intention to trade in the current one following approval at the last F&GP meeting.

LED Footway Lighting
Members are asked to NOTE that the testing of all the LED footway lighting in Loudwater has been completed and we are awaiting the report and certificates.
Members are asked to NOTE that the insurance company of the driver who caused the damage to the lamp column in Chapel Lane has paid for the repair.
Members are asked to NOTE that there has been an increase of approximately 6% in the maintenance costs from our lighting contractor starting on 1 April 2024.

Cats eye reflectors
Members are asked to NOTE that the cats eyes on Treadaway Hill have been completed following the resurfacing of the road.

Royal Mail Pouch Box
Members are asked to NOTE that another dilapidated pouch box has been identified in Churchill Close, FH and the deputy clerk has written to Royal Mail asking for its removal.

Members are asked to NOTE that the 4 trees have been planted in Chiltern Green.

Heath End Rd footpath
Members are asked to NOTE that the deputy clerk has been in touch with the Berkeley Group. 250 properties have been occupied to date and they are on track for the 300th occupation late summer 2024.

Heath End Rd Common
Members are asked to NOTE that the Grounds Team have installed wooden posts with reflectors along the edge of the common to deter motorists from parking on the grass.
